Sales Coordinator

I. Position Summary

The Sales Coordinator is the first line of contact for PECO’s customers via telephone, email and online.

 

II. Latitude

The Coordinator will report to the Customer Service Manager. The Coordinator will work a fixed schedule Monday – Thursday, 7:30 am to 5:30 pm greeting customers, answering the telephone, routing calls, processing customer requests for information, entering customer orders and invoicing.

 

III. Essential Functions

The Coordinator will perform the following duties on a regular basis:

  • Answer phones and provide product information, part number and pricing data to customers and dealers.  Answer questions regarding products and lead times and route calls when necessary.
  • Create and respond to customer and internal emails.
  • Set up customer accounts, create quotes, sales orders, and process payments.
  • Create necessary documentation including sales orders, invoices, shipping documents, labels, parts lists, and other documents required by customers or regulatory authorities.
  • Work with common carriers, customers, and vendors to quote and schedule outbound and inbound freight shipments.
  • Coordinate USPS and UPS shipping and tracking for customers.
  • Communicate status of orders to customers via email/phone.
  • Provide support to Customer Service Manager.
  • Work with production department to schedule manufacturing of orders.

 

IV. Other Functions

The Coordinator may occasionally perform these duties:

  • Resolve customer service and warranty issues.
  • Special projects from marketing and sales.
  • Cover for other team members during vacations and absences.
  • Perform other duties as requested.

 

V. Position Specifications

The successful Sales Coordinator will:

  • Be motivated and outgoing.  Have an engaging personality and enjoy talking to customers and dealers on the telephone.
  • Possess a willingness to learn and an ability to develop deep product knowledge.
  • Demonstrate excellent verbal and written communication skills, the ability to effectively communicate with customers, dealers, prospects, and co-workers.
  • Be detail-oriented, strong multitasking skills with the ability to manage multiple priorities with minimal supervision.
  • Possess the capacity to grow in responsibility and skills.
  • Be available to work 40 hours per week.
  • Experience in sales or customer service and Microsoft Excel, Word is required.

 

VI. Working Conditions and Environment

The Coordinator works in an office setting and requires the ability to sit for long periods and sufficient manual dexterity to write and use typical office equipment on a regular basis. It requires the ability to occasionally stoop, bend, reach, and lift items weighing no more than 35 pounds.  Experience in accounting software i.e. Quick Books, Peachtree, or Sage is a plus.
